📋 1. Information we collect

Information you provide

  • Full name and email address when creating an account
  • Profile photo (if you sign in with Google or Facebook)
  • Business information you provide when configuring your AI agent
  • WhatsApp number (if you configure the WhatsApp integration)

Automatically collected information

  • Conversation history with AI agents (to improve responses)
  • Lead data captured by your agents (visitor name, email, phone)
  • Platform usage analytics data
  • IP address and browser data

🔧 2. How we use your information

  • Provide, maintain, and improve our AI agent services
  • Authenticate and manage your account
  • Send relevant service notifications
  • Process WhatsApp messages and route them to your AI agents
  • Generate personalized AI responses for your business visitors
  • Capture and store leads for your business management
  • Comply with legal obligations

📘 3. Facebook Login

When you sign in with Facebook, we only access the following information from your Facebook profile:

  • Public profile: name and profile photo
  • Email: email address associated with your Facebook account

⚠️ We do not post on your behalf, we do not access your friends list, photos, posts, or any other information from your Facebook account. We only use your name, email, and photo to create your Zentix™ account.

You can revoke Zentix™'s access to your Facebook account at any time from your Facebook app settings.

💬 4. WhatsApp Business Integration

Zentix™ uses the WhatsApp Cloud API (Meta) to allow your AI agents to automatically respond to WhatsApp messages.

Data we process

  • Incoming and outgoing WhatsApp messages
  • Sender's phone number
  • Sender's WhatsApp profile name
  • Conversation history (to maintain conversation context)

🔒 WhatsApp messages are encrypted in transit. We only store content necessary to provide contextual AI responses and lead capture. Data belongs to the Zentix™ account owner.

📅 4b. Google Calendar Integration

Zentix™ allows users to connect their Google account to sync meetings with Google Calendar.

Data we access

  • Your Google account email address (for identification)
  • Calendar events — only to create and update Zentix™ meetings

How we protect your tokens

  • Refresh tokens are encrypted with AES-256-CBC before storage
  • Access tokens are short-lived and automatically refreshed
  • Encryption keys are stored as secure environment variables on Vercel

🔒 We only access calendar events (scope: calendar.events). We do not read your email, contacts, or any other Google data. You can disconnect Google Calendar at any time from Settings → Google Calendar → Disconnect.

You can revoke Zentix™'s access to your Google account at any time from your Google permissions settings.

🤝 5. Data sharing

We do not sell your personal information. We may share information only with:

  • Firebase (Google): Data storage, authentication, and analytics
  • Meta (WhatsApp/Facebook): WhatsApp message processing and Facebook authentication
  • DeepSeek: Natural language processing for AI responses (messages are sent anonymously)
  • Vercel: Platform hosting and serverless functions

🔐 6. Storage and security

  • Your data is stored on Google Firebase servers with encryption at rest and in transit
  • Sensitive credentials (API tokens) are stored as secure environment variables, never in source code
  • We use Firestore security rules to ensure each user can only access their own data
  • Passwords are managed through Firebase Authentication and are never stored in plain text

⚖️ 7. Your rights

You have the right to:

  • Access your personal data stored on the platform
  • Rectify any incorrect information
  • Delete your account and all associated data
  • Export your data in a readable format
  • Revoke consent for data processing at any time

🍪 8. Cookies

We use essential cookies to keep your session active and remember your language preferences. We also use Google Analytics to understand how the platform is used. We do not use advertising or third-party tracking cookies.

👶 9. Children

Zentix™ is not directed at individuals under 18 years of age. We do not intentionally collect information from minors. If we discover that we have collected data from a minor, we will delete it immediately.

📝 10. Changes to this policy

We may update this privacy policy from time to time. We will notify you of any significant changes by email or through a prominent notice on the platform. The "last updated" date at the top indicates when the last revision was made.

If you want us to delete all your Zentix™ data, you can:

  • Send an email to jorge@zentixchatbot.cloud with the subject "Delete my data"
  • Use the account deletion option available in your dashboard settings

We will process your data deletion request within 30 days. This includes deletion of your account, AI agents, conversation history, leads, and any other associated personal information.
